Administrative Assistant
Job Description
Grand Rapids Lighting is seeking a reliable and detail-oriented Administrative Assistant to support our daily operations. The ideal candidate will be responsible for handling a wide range of administrative and office support tasks to ensure efficient workflow throughout the organization. You will play an essential role in maintaining smooth communication, organizing company records, and assisting management and staff with administrative duties.
Key Responsibilities:
•Provide direct administrative support to management and team members.
•Schedule and coordinate meetings, appointments, and travel arrangements.
•Prepare, proofread, and organize correspondence, reports, and presentations.
•Maintain accurate and up-to-date filing systems, records, and databases.
•Handle phone calls, emails, and internal communications in a professional manner.
•Assist with data entry, invoice processing, and recordkeeping.
•Order and manage office supplies, ensuring inventory levels are maintained.
•Support HR and accounting teams with document preparation and file management.
•Help coordinate company events, meetings, and training sessions.
•Maintain a clean, organized, and professional office environment.
Qualifications:
•High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
•Minimum of 2 years of administrative or office support experience.
•Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
•Strong written and verbal communication skills.
•Excellent time management, organization, and multitasking abilities.
•Ability to maintain confidentiality and handle sensitive information.
•Strong attention to detail and problem-solving skills.
•Professional appearance and customer service-oriented mindset.
Work Schedule:
Monday to Friday, 9:00 AM – 5:00 PM (EST)
Compensation:
$23 – $28 per hour, based on experience. Benefits include paid time off, health insurance, and career growth opportunities.
